When a Casino decides it wants to consider utilizing a document imaging system, certain procedures should be followed and specific concerns should be addressed prior to installation and implementation. These include, but are not limited to:

Needs
. For Casinos, document imaging and records management systems must be easy to use, easy to manage, and highly secure, including permission based user access and security down to the document level. Systems must have built-in features that enable efficient indexing, due to the great number of documents to be saved, tools like Bar Code Scanning, Optical Character Recognition (OCR), and automated index memory utilities.  Casino records management departments can scan,digitize,index, save and be able to have online access to years of records from any PC on their LAN and store older documents on CD/DVD, but still be accessible by retrieving and reloading those CD’s.
  Document security, control, and accessibility are very important to Gaming Organizations, and Document Imaging Systems must comply with internal, as well as government audits and regulations.  Although support for gaming records management is one of the most important reasons for purchasing a document management system, there are many other areas where Casinos can gain operational efficiencies, including:
  • In the cages, guest checks can be scanned and the images can be stored, prior to checks being deposited.
  • The accounts payable department can scan incoming invoices and have a repository that is quickly searchable by vendor, date, amount and department.
  • The human resources department can scan HR documents (resumes, insurance forms, SSN’s, W2s.)

A licensee may use an electronic imaging system to facilitate compliance with the Division’s record control and retention requirements. Electronic imaging systems can be used for the capture, storage, retrieval and management of electronic images of files and required gaming documents and related structured data repositories. Imaging systems provide document integrity in that digitally stored documents do not degrade in quality due to handling or age and images cannot be altered. Systems can operate anywhere from a single stand-alone PC workstation to an enterprise-wide system via a local area network (LAN) or wide area network (WAN). Utilizing optical disks, CD-ROM disks, and/or zip disks, systems can convert both paper documents and electronic information into easily accessible databases for quick and simple recall, intelligent transmission to other users or departments, expedient printing and faxing and secure archival storage.
